Ethics in the Staffing Process for Organizations

Introduction

In the current business setup, organizations are demonstrating a transformed belief in value orientations which shows that they are taking an ethical approach in their operations. The logic behind supporting ethics in their operations is to develop a climate that would serve as a motivational factor in development and good performance. The result is always having a system with shared values that direct, shape, and channels the behavior of people at work. Effective management is crucial when it comes to the application of ethical standards in an organization. Staffing is an important managerial function in an organization because it helps in acquiring and filling different positions with capable and suitable individuals (Foley, 2014). However, the human resource department has to meet ethical standard expectations according to the law of a country and the company. It is the only way in which the individuals selected to occupy certain positions in the organization can align themselves according to the expectations of the company. Ethics in the staffing process of organizations is important because it enables the human resource professionals to know how they deal with various dilemmas while recruiting and at the same time set standards of honesty and trust for the company based on the ways in which the process is conducted.

Steps of the Staffing Process

There are five processes of staffing. Foremost is an estimation of the manpower requirement. The manpower requirement comprise the estimated number of employees that the organizations needs at that particular moment or in the near future. When finding out the number of people required, the human resource management has to evaluate the education qualifications that it needs before making any public announcements. However, it is important for the management to set policies regarding the specific number of those who will be selected regardless of the outcome of the people who turned up for the interview (Foley, 2014). It is the only way in which the organization will remain relevant during the entire process without any forms of compromise.  The second process involves recruitment of people who are induced to apply for various positions within the organization for them to be selected based on their qualifications. The third process is selection of suitable candidates to fill the positions in the company that were vacant. The forth process include orientation while the last is training to motivate and improve the selected employees’ level of performance to meet organizational standards.

Meeting the ethical standards

Human resource professionals will always face different dilemmas during the entire process of staffing. The best way for them to deal with the dilemmas is remaining professional through maintaining work ethic. They are required to be objective, consistent and honest throughout the process of recruiting new employees to the organization. For instance, the human resource management should ensure that the jobs that they are advertising to the public match the vacant positions in the organization (Brimmer, 2012). The main reason for doing this is to remain relevant throughout the process and prevent any forms of exploitation of the public which is a behavior considered as unethical. Simultaneously, the employer needs to focus on the ability of the candidate to fulfill the vacant position and handle the job effectively as expected. It means that they should avoid any forms of biasness but rather ensure that the candidate selected will meet the expectations of the organization based on the initially set standards. It means that no extraneous factors should be put into consideration but rather focus on the ability of the candidate to perform the task at hand.

The human resource management is also expected to conduct itself in a manner that is transparent to everyone during the recruiting process. They should ensure that all the candidates are fully aware of the operations especially the selection process. At the same time, rules should be set for the candidates to understand what is expected from them. For instance, the employer should state all the risks involved in working for a company that they consider as a competitor. A legal contract may help in maintaining ethics within the company. The contract can prohibit the employees from working for the company’s competitors and in case of any breach of contract, severe actions is taken against them. On the other hand, during the interviewing process, the employer should make it clear to the candidates regarding the working conditions and be informed of the state of the company (Bianca, 2010). It is the best way in which a candidate will be able to evaluate whether they want to be hired at the company or not preventing any future dilemmas that may exist in regards to performance.

It is also the ethical obligation of those involved in the staffing process to treat everyone including the candidates and other employers aiding in the process with much respect. In case there are issues regarding race or religion during the staffing process, it is crucial that the personnel involved in the process avoid any forms of prejudices. It means that to remain ethically correct, the employer needs to protect the candidates from any form of prejudice in regards to race, religion, age, nationality, color, or marital status. They should instead conform to the requirements as per the requirement of the job position that needs to be filled. The candidates should be treated with much respect and offered the same services without any biasness. At the same time, the information regarding each candidate should remain confidential.

It is important to mention that ethical issues in an organization are perceived differently by people. It is because the perceptions that people have regarding justice differs. It is the reason the employer needs to adhere to the set rules and regulations of the organization during the staffing process to enable the employees to perceive fairness in regards to the decisions made (Bianca, 2010). Whenever an individual feels that the employer treated them in an ethical manner, they will feel contented with the decision which they will consider as legitimate. It is the only way to raise confidence among the public and make them have a positive attitude towards the staffing process in an organization. In this regard, in the near future, in case the company will require additional employees to fill a vacant position, potential candidates will not shy away from applying because they believe the process will be fair and free from any form of biasness. Recent studies on the staffing process have shown that the values set by an organization matches organizational culture which plays a crucial role when selecting people (Foley, 2014). It is the organizational culture and employment laws that make top candidates eligible for a particular position in a company. Most individuals tend to select jobs which have value but also take into consideration the ways in which the staffing process is conducted to evaluate whether they will stand a chance.

In conclusion, ethics in the process of staffing is crucial because it enables employers to become aware of how to deal with various dilemmas involved in the selection of best candidates to fill a vacant post in an organization. When the staffing process is conducted in an ethical way by valuing and treating each candidate the same way without any forms of biasness, it helps in setting high standards of integrity and trust for the organization. However, as much as the employer needs to remain relevant during the process by following staffing policies and employment laws, the eligible candidates also needs to carry themselves with respect and ensure that they meet the set standards by the organization. It is paramount for the candidates and the employers to deliver and believe in the message that the organization has set regarding the requirements to show that they meet the set standards of morality and values when it comes to staffing process
