Change Management (CM) is an approach that contains procedures and processes that ensure a correct and effective transitioning of individual and organization with the aim of streamlining its operations (Aladwani, 2001). Change management is designed to redirect the use of the material resource, human resources, budget, and the overall mode of operation to comply with the best existing practices. Due to the ever-changing business environment ranging from competition to customer needs, changing of the business operations is inevitable. However, it is not a guarantee that the change will translate into the improvement of the organization’s mode of transaction to the better, but may instead drag its achievements. This is the reason why change management is necessary; it will ensure that the destructors of the change and the possible hurdles are eliminated and corrected in time (Aladwani, 2001). The importance of change management in the implementation of information system projects is explained by its advantage of ensuring that projects are completed on schedule

Importance of Change Management in Information System Projects

Information systems are integrated system involving the interaction of human and machine working harmoniously to analyze and interpret data and information. The system ensures information is recorded, stored, and retrieved quickly anytime it is required in a form meaningful to the users. Information system projects are activities and investments that involve the innovation, modification, application, and use of technological systems to achieve a set objective. The process involves the actual development and building of systems that can meet the required needs of clients and institution without compromising the quality (Boyne, et al 2003).

Information systems are closely related to technology, and therefore, these projects undergo various transformations resulting from technological innovation, modification, and improvement. This means that change is not inevitable in this field; hence, it calls for the monitoring and planning of the procedure to be followed in implementing the change. Many of the information system projects fail in the process of their implementation because of presence of destructors to change (Boyne et al., 2003). Additionally, information systems fail as people in the system do not to appreciate the innovation and technological improvements and, therefore, stick to the old ways that are redundant.

Change management is vital in ensuring that change in the information system projects is achieved and that it brings along the attainment of the objectives (Boyne et al., 2003). The greatest challenge to the realization of change is the people in the system who are to play an important role in the implementation process. Change management ensures that projects are completed within the scheduled time by eliminating unnecessary delays that would otherwise be avoided (Ziemba, 2015). This is the greatest achievement that information system project implementation firms derive from the application of change management. However, to ensure that a change meets the desired outcome, analysis of various factors that are key in the process is vital to minimize the possibilities of failure. The elements are called the Critical Success Factors (CSFs) and positive contribution of these factors ensures a successful change management in the information system projects.

The top management plays a vital role in the successful implementation of the change management of information system projects. Active support from the management is essential to change management since they are responsible for the formulation of policies (Ziemba, 2015). Their involvement should be visible by leading in the decision making and also showing commitment through all the stages of the change. Another factor of importance is the recognition of the need for change by all industry players. As information system projects involve many people performing different roles in the process, it is paramount to ensure that all the people involved recognize that change is required. This will help in enhancing a smooth transition as a team without some members dragging back the process due to misinformation or under information.

Effective communication is significant in change management in information system projects because it helps in ensuring that the stakeholders understand their role in the process. Additionally, the flow of information must be in time so that change does not ambush people. Further, it is required that the organization is prepared to deal with the change while the involvement of employees being the casualties or beneficiaries of the process cannot be underestimated. Employees satisfaction about the change play a role in change management and can be enhanced by incorporating some of their views and also taking them for training pertaining the expected change.

An effective change Management Board (CAB) is required to ensure that the anticipated changes and outcome are achieved within the stipulated time with the available resources. CAB is a body that help the change management team to achieve its mandate by prioritizing and approving the changes recommended by the team. The CAB will ensure that the changes evaluated and applied are in-line with the Information Technology Infrastructure Library (ITIL). This is a system that seeks to align the IT services with the requirement of the specific business and hence enabling easy flow of information.


In conclusion, change management is vital in information system projects since it ensures projects are completed on schedule. The need for change usually results from the dynamic business environment and the need to use the latest technologies and innovations. However, to ensure a successful change management, analysis of the Critical Success Factors (CSFs) cannot be ignored. The factors are the backbone for the success of the process, and they include involvement by the top management, effective communication, the flow of information, employee’s satisfaction, and the organizational preparedness for the change.
